Sample and Equipment Shipment

📦 General Information

All shipping arrangements to and from TARLA are the responsibility of the user. This includes all associated costs and tracking of the shipment.

Each package must be clearly labeled with:

  • TARLA contact person (beamline scientist or technical staff)
  • Beamline name
  • The name and/or number of the user project (as listed in the User Portal)

📌Samples to be sent by mail are expected to arrive at TARLA at least one week before the planned test date. Therefore, we recommend initiating your shipping planning at least 2 weeks before your beamtime to ensure smooth delivery and customs clearance.

Shipping Rules

  • Samples must be shipped in durable and reusable containers (e.g., Dewar flasks, cardboard boxes, wooden crates, etc.). The same containers will be used for return shipments.
  • Each package must contain a shipping invoice with the destination address in case of damage or loss.
  • Shipments containing hazardous materials must be packaged in accordance with the Transport of Dangerous Goods Regulation (TDG) for road transport or International Air Transport Association (IATA) rules for air transport.
  • If special handling or forklift use is required, the TARLA logistics unit must be notified prior to shipment.
  • The user is responsible for all costs incurred in international shipments, including customs procedures.

🧪 Hazardous Materials Shipment

For shipments containing hazardous materials, users must contact experts within their own organizations to obtain appropriate packaging and transportation information.

Such shipments must include:

  • Comply with ADR (by road) or IATA (by air) regulations.
  • Include two printed copies of the Material Safety Data Sheet (MSDS/SDS) in the shipment.
  • Clearly label hazardous items with appropriate warning signs in line with Turkish and international safety regulations.
  • Inform TARLA HSE (Health, Safety & Environment) team in advance if any special storage or handling is required.

🚫 Only the minimum quantity required for the experiment should be shipped.

🌍 Customs and International Shipments

Users are responsible for handling customs procedures for shipments to TARLA from abroad.

To minimize delays:

  • Attach 3 copies of the Commercial Invoice with detailed item descriptions (e.g., “Non-hazardous geological samples for research only”).
  • Content declaration: The type, quantity and value of the content must be clearly stated, along with explanations such as ‘Non-hazardous, Non-toxic, For Research Purposes Only’.
  • Keep shipment values realistic (suggested: ~$1 per sample, min. $20 total).
  • Mark containers and packages as returnable where appropriate.

For shipments coming from the EU or other regions, include certificates such as:

  • Certificate of Origin (if applicable, for tax exemption)

Notify TARLA Shipping & Receiving team at least one week in advance of the package arrival with:

  • Carrier name
  • Tracking number
  • Invoice copy
  • Any documents required for customs clearance

📥Delivery of Shipments Arriving at TARLA

Once packages arrive at TARLA, the relevant beam line team is notified. TARLA teams are responsible for receiving the packages and storing them appropriately in the beam line laboratories.

  • All non-hazardous packages will be delivered to the beamline.
  • Hazardous contents are stored in controlled environments such as the Chemical Storage Area, unless otherwise specified.

❗Note: Packages sent via cash on delivery (C.O.D.) are not accepted.

📤 Return Shipments

The costs associated with return shipments are the responsibility of the user. Delivery times may vary depending on the content, destination country, and shipping method.

To help streamline return logistics:

  • If possible, it is recommended to arrange for round-trip shipping before sending the shipment.
  • Include return labels and documents in the original shipment if possible.
  • For return procedures, the TARLA Shipment Request Form must be completed and sent to useroffice@tarla-fel.org.

📌For customs procedures, information such as the place of manufacture, unit value, and dimensions/measurements of the products must be provided in full.
